DTLR - Employee Onboarding in Workday

On or before a new employee’s first day of employment, they are responsible for logging into Workday and completing their onboarding.  This Job Aid will show you the new employee’s experience during onboarding through Workday.

Hiring Step 3:

Employee Onboarding in Workday

  1. Login to Workday and click on the Inbox icon.

  2. Three notifications will be in the employee’s Inbox – Change Emergency Contacts, Enter Contact Information and Enter Personal Information.

  3. Select the “Change Emergency Contacts” notification, then click the Expand button.   

  4. The new employee is responsible for entering their emergency contact information including:

    1. Legal Name

    2. Relationship

    3. Primary Phone Number

  5. Next, select the “Enter Personal Information” notification, then click the expand button.2

  6. The new employee is responsible for reviewing their personal information that was input during their application, including:

    1. Gender

    2. Date of Birth

    3. Marital Status

    4. Race/ Ethnicity

    5. Citizenship Status

  7. At this time, the employee has the opportunity to make any changes to this information as they see fit.

  8. When complete, click Submit.

  9. Now the employee is responsible for verifying their contact information by selecting “Enter Contact Information”, then click on the expand button. This information includes:

    1. Primary Address

    2. Primary Phone

    3. Primary Email

  10. When complete, click Submit.

  11. Now that the three Inbox notifications have been completed, click the Workday Home button (or Refresh) to continue. 

  12. Several new notifications have been delivered to the employee’s inbox.  Click the Inbox icon.

  13. The employee is responsible for completing the action steps for each notification delivered to their Inbox. Examples include:

    1. I-9 Validation

    2. Federal Tax Withholding

    3. Tax Elections

    4. Payment Elections

    5. Benefits Enrollment

  14. For additional assistance completing any of these action steps, see the Job Aid for the respective process.

    1. Please Note: Depending on local/state laws, the employee may have additional inbox notifications requiring action.

  15. You now know how to assist an employee with their new employee onboarding through Workday.  Once complete, the hiring manager is required to login to Workday to complete the I-9 and finalize the employee’s onboarding experience.
