How-To: Update Social Security Number in Workday
This job aid will guide you through the process of editing your Social Security Number (SSN).
An image or .PDF of your valid Social Security Card is required to successfully complete this process.
Updating your Social Security Number (SSN) should only occur during the following circumstances:
Temp SSN or identification card is expired.
During the job application process, you entered the incorrect SSN.
Current I-9 needs to be canceled because of an incorrect SSN listed on the form, and a new I-9 needs to be completed.
Once a new ID is submitted your Talent Partner or Manager will have to review and approve in Workday.
If you fail to upload an image or .PDF of your Social Security Card, the task will be sent back to you.
Instructions
Step | Action |

1. | Login to Workday. |
2. | Type Change My Government IDs in the Workday search bar. Workday desktop view

3. | Enter the correct Social Security Number in the Add/Edit ID Field. Mobile users will need to select the pencil icon to edit the National ID (Social Security Number).
The system may generate a warning message that the social security number is already in use. If you are entering the correct social security number, ignore the warning message. |
4. | In the Attachments section, drag an image or .PDF of your Social Security Card or click on Select Files to upload from your computer or phone. |
5. | Once the attachment is uploaded enter your name in the Description field and select Government ID in the category section. In order to successfully submit this task an attachment of your government ID must be attached and categorized as a government ID. You’ll receive an error message if this isn’t done correctly.

6. | Select Submit (If Workday is displaying a warning message that the social security number is already in use, you may need to hit the submit button twice.) |
7. | The Area Talent Partner will review the information entered and compare it to the card image to confirm that the information matches. This is the final step. If the information does not match or if the attachment is missing, the task will be sent back to the employee to correct the information or to upload an image of the social security card. |
