Form I-9 Reverification (Section 3) in Equifax

This job aid will walk you through how to complete Section 3: Reverification and Rehires prior to the
expiration of the employees authorized employment date in Equifax.

Section 3 is used for:

  • Reverification: Section 3 is used when a current employee’s employment authorization has
    expired. The employee must present a document that shows current employment authorization.

  • Legal Name Changes: Section 3 is also used for legal name changes (such as marriage,
    divorce, or gender transition)

  • A new Form I-9 should be completed for ALL re-hires, we do NOT use Section 3 for
    rehires.

You should NOT be completing Section 3 unless you have been notified by Equifax that reverifications
need to be completed.

When you receive notification from Equifax that the employee’s work authorization will
be expiring - you will then need to notify the employee.

2.

Tell the employee:

“I’ve learned that your work authorization will be expiring on (DD/MM/YY). I wanted to let you know that we will need to re-verify your employment eligibility on or before that day. That means, you’ll need to present an unexpired List A or List C document, (or acceptable receipt), showing continued employment authorization on or before the expiration date we just discussed.”

Give the employee the List of Acceptable Documents.

IMPORTANT: Do NOT tell the employee which documents to bring -- refer the employee to the List of Acceptable Documents provided above and let the employee decide.

Examine the unexpired document to determine if it appears to be genuine and relates to your employee. Only Original documents are acceptable, we CANNOT accept photocopies, pictures or screenshots. 

Ensure the document title and number is one of the List A or List C documents. If so, proceed to Step 2. 

Note: If you feel the document does not reasonably appear to be genuine and relates to your employee, allow your employee to present other documentation from the List of Acceptable Documents. Contact the HR Compliance Team or your Talent Partner with any questions.

The Manager will need to login to the Equifax site.

Go to the I-9 Management dashboard.

Click the Reverification Due tile.

5.

Scroll down to click the employee’s hyperlinked name.

Once on the Employee Detail page, click on the Section 3 button.

7.

Select the document provided from the drop down, click Continue.

8.

Enter the document details, click Continue.

Review the data for accuracy. Scroll down and click the Attestation box and then click Continue.

Scroll down to I-9 History. The updates are reflected as a Reverified I-9.

If List A document is provided then please upload a copy of the document by following steps 12 - 17 below.

(For List A documents only) Click Attach File under the I-9 History section next to the Reverified I-9.

(For List A documents only) Scroll down to the Uploaded Documents section. You will see the Upload Status for the document has a red exclamation mark.

(For List A documents only) Go to the File Information section. Choose the document from the drop down, attach the file and click Upload.

Note: Use your company-owned iPad or Store Tablet to take a photo of the document the employee provided. NEVER USE A PERSONAL DEVICE.

(For List A documents only) The Uploaded Documents section will now change to a green checkmark.

(For List A documents only) Click Finished.

17.

(For List A documents only) You will now see the files attached under the I-9 History section.
